Most of us find it an inconvenience when we have to send a dozen emails and yet have to keep flicking back through various programs to collect all the information we need for it. Not anymore! Sending an email direct from Sugar couldn’t be easier and here I shall walk you through it.
Click on Emails along the menu bar and it will bring up a nice normal email layout that’s easy to follow. You have usual Cc and Bcc as well as formatting options but what I like the most is that you have the option of choosing what it should relate to inside of SugarCRM. Use the drop down menu to choose what you would like it to relate to and this will enable you to filter or run accurate reports more easily.
Upon clicking on the options button you’re provided with the choice of using a previous email template (ideal for generic company emails) or you can add in a signature. Now whilst this is ideal to keep your emails looking professional and providing the customer with all of your details, it is also brilliant for if you have several businesses under the one umbrella. This option will allow you to select the signature that matches the business you are responding to. It’s nice having it all in one place isn’t it!
Settings can be adjusted to suit your requirements. You can choose when you would like SugarCRM to check for new mail, every 5 minutes or 15 minutes for example, how many emails you would like to view per page as well as being able to access several mail accounts in place. You just check the Active box and you shall be able to see all mail related to that account.
As I mentioned before, you can have email templates to choose from. To set up an email template you select Create Email Template from the drop down under Emails. You enter the information into the requested fields and design it exactly how you would like. You have the options of inserting images and information as well as the choice of setting it for an email template or a campaign template. You’re never stuck for choice with SugarCRM are you!
When inserting a variable you can select account, user or contact/lead/target. Depending on which option you choose, the selections to the right of it shall change giving you new choices of what you would like inserted. You can also select a file to add to the email template. Brilliant if you’re wanting to send out something such as your company brochure to each new lead!
Sending emails has never been so easy especially when you require all of your information being easily accessible within the same program. No more having to ask who sent which email where because it will all be there as well as the comfort of knowing that in using templates, your company emails will be consistent no matter who sends them.
